Before you start
- Creating projects and moving them between stages needs a role that can manage all projects.
- Have the customer’s contact details and the service address ready.
Create a project
- Open Projects and select Create Project, or use the + button at the top of the screen.
- Start typing a name to pick an existing customer, or enter a new customer’s details.
- Enter the service address, then the property and project details. Fields marked with * are required.
- Under Schedule, choose Schedule now to set dates and times, or Schedule later.
- Select Create Project.
Picking an existing customer keeps the new project on their record, instead of creating a second customer.
Move work through your pipeline
- Projects opens on Pipeline, with a column for each stage. Switch to Sheet for a table, or Calendar for dates.
- Drag a card to another stage, check the change and select Apply change.
- When you move a project to your final stage, say whether it was Fully Completed, Canceled or Not Sold.
Your company can rename the stages, so yours may not match the starting set of New Lead, In Progress, Open Balance and Done.
Put the right people on it
- Open the project and choose Team.
- Under Default Roles, choose a person for your field role, Scheduler and Supervisor.
- To add someone else, select Add under Additional Team Members, give their part a Role Name and choose the employee.
- Bring in outside help under Subcontractors.
Someone with approved time off during the project’s dates can’t be assigned. Choose another person or change the dates.
Find your way around a project
- The project’s side menu keeps everything together: Details, Team and Areas; Budget, Invoices and Estimates; Documents and Photos; Agreements, Permits and Warranty.
- Notes, events and time live in the Activity panel. Use Add there for a Note, an Event or Log Time.
Good to know
- What you can open depends on your role. People who only see their own projects see the ones they’re assigned to.
- Before scheduling a visit, check the service address. It can differ from the customer’s mailing address.
