Invoice your customer and get paid

Create and send invoices, take card payments online, record cash or check payments, and handle refunds.

Before you start

  • Creating invoices and handling payments needs a role that can manage finances.
  • Card payments need your Stripe account connected. Until it is, Finance shows Stripe Account Not Connected.

Create an invoice

Approved estimates create their own invoice. For other work:

  1. Open Sales, choose Invoices and select New Invoice.
  2. Choose the Project. Every invoice belongs to one.
  3. Add the line items, any Discount and the Due Date, then select Create Invoice.

Send it

  1. Open the invoice and select Send to Client.
  2. Choose Text, Email or Text & Email and select Send Invoice. The text carries a secure link to view and pay. The email also attaches the PDF.
  3. Still unpaid? Send Reminder is there while a balance is due.
  4. Use Copy Payment Link to share the payment page yourself, or Revoke Payment Link to stop an old link from working.

Let customers pay by card

  1. Your customer opens the payment link, or Pay Now in the Portal, and pays by card.
  2. If you’ve turned on tipping, they can add a tip before paying.
  3. A card payment is recorded on the invoice once it goes through.

The payment page shows any card fee before your customer pays, and lists your other ways to pay, such as Zelle or check, which have no online fee.

Record a cash, check or other payment

  1. Open the project and choose Invoices.
  2. On the invoice, select Record Payment.
  3. Choose how they paid: Cash, Check, Zelle, Venmo, PayPal, Manual Card or Other. Enter the details and save.

Payments made outside Garrison, such as Zelle or check, are only on the invoice once you record them.

Refund or correct a payment

  1. Open Finance. On Payments, open Refunds and select New Refund.
  2. Choose the payment and amount, then select Process Refund.
  3. Card payments go back to the card. A cash, check, Zelle or Venmo refund is recorded for your books only, so return that money yourself.
  4. Recorded a cash, check or other manual payment by mistake? Open Payment Confirmations and use Void Payment.

Good to know

  • If a customer says a payment doesn’t match, check the invoice’s payment history before asking them to pay again.
  • Payouts and Disputes in Finance show when card money reaches your bank and any payments a customer has challenged.
